CallReply

Associations and clubs

A volunteer, not a switchboard: every missed call gets a reply

In a club or association, the contact number is often a volunteer's mobile, and that volunteer also has a job and a life. CallReply replies by text for them when they cannot pick up.

Call back: Mrs Pettit after the session

What changes for your association

The club replies. During training, families and members get a text on the volunteer's behalf.

Volunteers get a break

During training, a committee meeting or at work, they no longer feel guilty letting it ring. The caller gets a polite message.

At training · Text sent

Members are recognised

With contacts synced, the text greets the member by first name. A newcomer gets a neutral version.

Clearer requests

Families reply to the text with their question: training times, medical certificate, sign-up. Call backs go faster.

Question: sign-up

Nobody is pestered

Only one text per number per day. Numbers on the STOP list never receive anything.

Set up for the season

  1. 01 Choose the contact phone The one whose number is on posters, the website or sign-up forms.
  2. 02 Write a friendly message Association name, briefly unavailable, call back soon. Keep it short so it fits in one SMS segment.
  3. 03 Keep an eye on history In the evening, history lists the day's missed calls so you can organise call backs.

During September sign-ups

This is when the phone never stops. Parents call about time slots, fees and paperwork. With CallReply, every missed call gets a text, and history becomes the evening call back list. You can also reply by hand to a specific parent from the history, free of charge, even without a subscription.

What if the contact volunteer changes?

The app is tied to the phone that receives the calls. If the association's line passes to another volunteer, they install CallReply on their device. The web space lists devices and lets you follow each one's activity.

Which associations is it for?

Sports clubs, music schools, cultural groups and festival committees whose contact is a volunteer available on and off. A quick reply keeps a family from thinking the club has stopped taking new members.

Mutual aid groups, residents' associations and parent associations, where calls arrive at any hour. The text confirms the request was seen, without promising more than the volunteers can deliver.

Good to know

Inform, do not solicit

The text answers someone who called you. Keep it informational. A donation appeal or raffle invitation added to the message looks like solicitation: you then need prior consent and a free way to refuse.

The STOP list

Town hall, federation, committee members, private numbers: add them to the STOP list so they never receive a text. You edit it from the phone or the web.

Your data

Hosting in France and a retention period for each kind of data. After that, history keeps dates and statuses, without numbers. Members' contacts sync only with your explicit consent; export and erasure from "My data".

Hidden numbers

With no visible number, no text can be sent. The call is only listed in history, so the volunteer knows it happened.

Frequently asked questions

Does the volunteer pay out of pocket?

Texts go out on their mobile plan, like any ordinary SMS. The CallReply subscription can be taken out in the association's name and cancelled from the app.

Can we write to English-speaking members?

Yes. One French and one English template are available, with the {first_name} and {name} variables.

Does the message go out if the phone was off?

Yes. On restart, CallReply catches up the calls missed while it was off, thanks to a saved resume point.

Does it work on iPhone?

Differently. iOS blocks automatic sending: CallReply prepares the message in Messages and the volunteer taps Send.
