CallReply

Medical and allied health practices

While you treat patients, callers know you will call back

You do not pick up in the middle of a session or a procedure, and that is how it should be. CallReply sends a neutral text from your own number so the patient does not keep redialling.

Call back: Mr Dawson before the next visit

What changes at the practice

Between two patients. Patients get a neutral message, and you call back in order.

Sessions without interruptions

The phone may buzz during a manipulation or a scale and polish. The patient gets a message and you stay focused on the person in front of you.

Session in progress · Text sent

A deliberately neutral message

The text only says who you are and that you will call back. No reason for the visit and no health information appear in it.

No health details

Call-backs in order

Between two patients, the history lists missed calls with their time. You call back in order without digging through the phone's call log.

A manual reply when needed

For one specific patient, you can send a manual reply from the history in one tap, even without a subscription.

Set up the practice

  1. 01 Install the Android app On the practice phone or your own, running Android 8.0 or later.
  2. 02 Write a generic message Practice name and a promise to call back, nothing more.
  3. 03 Add your exceptions Colleagues, the lab, the pharmacy: put them on the STOP list.

Why a text with no details at all?

A text can be read by a relative on the patient's lock screen. Medical confidentiality therefore calls for a generic message: "The practice saw your call and will call you back." Never add an appointment reason, a result or a treatment. CallReply only inserts the first name or full name from your address book, and only if you use those variables in your template.

Can the patient reply?

Yes, it is an ordinary SMS sent from your own number. The patient can reply to ask for a slot. Answer with the same caution. For emergencies, your message can point to the emergency number or your on-call service, without saying anything about the patient's situation.

Which practices is it for?

Physiotherapists, community nurses on rounds, osteopaths, speech therapists, podiatrists, midwives, dentists or psychologists: any practitioner who takes calls on a mobile and cannot answer during treatment. The text keeps the patient from thinking the practice is unreachable.

Group practices can register several Android phones and follow calls from the web space. The dashboard shows missed calls and texts sent, and never displays health data, because CallReply does not process any.

Good to know

A reply, not marketing

The text answers the patient who just called, so it stays informational. Name the practice and add no offer: commercial content would bring the message under the direct marketing rules described by the CNIL.

The STOP list

A number on the STOP list never receives an automatic text. Useful for colleagues, labs, or a patient who would rather not get messages.

Your data

Hosted in France, with a retention period for each kind of data. After that, history keeps dates and statuses but not numbers. Export and erasure from My data.

Hidden numbers

Many patients call from a withheld number, sometimes from a facility. No text is possible in that case; the call is only recorded in the history.

Frequently asked questions

Does CallReply read my patient records?

No. The app only reads the phone's call log to detect missed calls. It has no link with your practice management software.

Can I have a message in English?

Yes. You have one French and one English template, handy for foreign patients or tourist areas.

What if my phone was switched off?

At restart, CallReply resumes where it stopped and handles the calls missed in the meantime, according to your rules.

Does a patient who calls three times get three texts?

No. One text per number per day. Later calls are logged in the history with the reason "already answered today".
